What is Office 365?

      • Office 365 is a subscription plan from Microsoft that include access to Office applications plus other productivity services that are enabled over the Internet or better known as cloud services. You can access the cloud services using Mednet Office 365 portal

What is the advantage of Office 365?

      • One of the biggest advantages of Office 365 is the ability to work from anywhere as long as you have an internet connection. Because it's entirely cloud-based, you can access your email from any location and any device.  Also, the storage for email has been increased to 50GB for all inboxes.

Will there be any impact on how I work?

      • There will not be any impact to how you currently work. DGIT has sent out an email with the credentials required to access email.

How do I log on to the web version of Outlook?

      • Go to Mednet Office 365 portal in any browser and enter the complete email username and your Mednet password that was provided by DGIT.

What are the new mailbox quotas?

      • Mailbox quotas are increasing to 50 GB (used to be 500MB to 2GB).

Will there be any impact to my shared mailboxes or calendars that are currently setup on Outlook?

      • There will not be any impact to any shared mailboxes or calendars that are currently set up on Outlook.  All Dentistry related shared mailboxes and calendars are planned to be migrated at the same time.

Will there be any impact to any rules I have configured on Outlook?

      • There will not be any anticipated impact to rules configured on Outlook. However, if you have a lot of email rules, DGIT Support staff would like to work with you to ensure the rules migrate successfully.

 

How do I export Outlook rules from Outlook 2013/2016?

In Outlook, on the Home tab, click the Rules button on the ribbon then Manage Rules & Alerts.  Click Options.

Export Rules

1.     Click Export Rules.

2.     Select the folder you where you want to file to be saved and under File name type a name for the file. Click Save.

3.     Click OK to close the options screen.

Import Rules

1.     Click Import Rules.

2.     Select the rules file you would like to import. The file should have an .rwz extension. Then click Open.

3.     Click OK to close the Options screen.

 

How can I access my emails on my phone?

      • Under HS Policy No. 9453-C, encryption is required for all types of mobile devices, used for any University business. Mobile device management software allows us to verify that all mobile devices joined to our internal network are encrypted and will also allow UCLA to secure the data upon separation.

      • Only encrypted mobile devices will be able to download email. To get email on your mobile device, please follow the instructions below to get Intelligent Hub (AirWatch).

      • Intelligent Hub (AirWatch) for Mobile Devices

        • Exempt employees will be eligible to download Intelligent Hub (AirWatch) on a mobile device. Intelligent Hub is a required mobile device management application that ensures your device is encrypted and complies with security policies to allow access to your emails.       • Email can also be viewed on your mobile device’s web browser by visiting the Outlook Web Access (OWA) via Mednet Office 365 portal.

I have Outlook 2010, do I need to take any additional steps?

      • You will need to upgrade your Outlook to Outlook 2013 or Outlook 2016 prior to the migration.  Please contact the help desk at extension x7-2273 or (310) 267-2273 and they will help upgrade your Outlook.

 

How to Reset Mednet Passwords

      • Open any internet browser (Chrome, Firefox, IE, or Safari) and enter https://mednet.uclahealth.org/change-my-password/ in the search bar.

      • To change your password, make sure to provide your username and password in the pop-up box.

      • You will be required to verify your identity with DUO for UCLA Health if off-site. If you have not yet enrolled in DUO for UCLA Health, please contact Customer Care (310) 267-CARE (2273) or connect with IT Connect for virtual support.

      • After providing the necessary information, click Change Password. After you have changed your password, it may take up 15 minutes for the Outlook client on your desktop to prompt to enter my new credentials.

Can I continue to use Outlook during the migration?

      • Email services will still be up and running during the migration, but the migration may cause a brief interruption in receiving new emails.  If you encounter any issues with email after the migration, please contact the help desk at extension x7-2273 or (310) 267-2273.

Will there be any email outage during the migration?
